The four figures at the top are the morning picture. Needs you lists hires that have gone past their expected end, so you can change the date or off-hire before another chargeable day. Invite sits on the same screen when you want site, office or finance on the same picture.

Sites, products, suppliers

Add your regular sites, products and suppliers once, then reuse them whenever you create a hire.

Add the sites you work on, the products you hire and the hire desks you use. When you add a hire, you can select them from these lists instead of entering the same information repeatedly.

Track what you own, on the same board

Owned equipment sits on the same board as what you hire in, so a morning check covers both without switching screens.

Open Owned equipment to add a machine or tool your company owns, then put it on a site. Moving it later is not a hire and carries no rate, it is just where the item is now. If you want to see what it is costing on a job, add it as a hire from your own company at whatever internal rate you use, and it counts the same as anything hired in. Open Board from the Dashboard to see every site as its own place, with hired-in and owned equipment together and anything past its expected end flagged.

Add and track hires

Know what’s out, which site, and which hire desk.

Select Add hire, then choose the site, product and supplier. Add the start date, expected end date and agreed rate, along with any reference details you have. Once saved, the hire appears in your live hire register and on the Dashboard. If you currently keep that list in a spreadsheet, start with the free equipment hire register template.

Open Hires to see everything that is currently out. Each row shows the item, site, days on hire, status and cost. Open an individual hire to change its expected end date, move it between sites or attach delivery notes and other paperwork so everything stays with the record.

Send hire and off-hire requests

Send requests to the hire desk without composing and chasing separate emails.

Send hire and off-hire requests directly to the supplier from What’s On Hire. The hire desk receives an email and can confirm the request without needing an account.

Once confirmed, What’s On Hire updates the hire record automatically and keeps the confirmation details with it, giving you a clear trail if a charge is ever disputed.

Catch still-on hire before another day

Past expected end and ready to come off show up where you can act.

When a hire runs past its expected end, it appears in Needs you on the Dashboard and is marked on the hire itself. Change the expected end if the job is still running, or off-hire if it has finished.

Finishing on Friday does not stop the meter. See When the job’s done but the hire isn’t, and what happens when the site said it’s done.

Invite site, office, and finance

Same still-on picture for everyone.

Use Invite on the Dashboard, or open Team. They get an email and join the organisation. Site, office and finance see the same hires, so nobody is working from a different list.

Reminders

Set review reminders so the team checks what’s still out without chasing inboxes.

Open Reminders. Turn on the Friday weekly summary so owners see what is still on hire before the weekend. Add weekly site reviews and expected end-date alerts when you want people prompted automatically.
